The SUBTOTAL parameter is a common parameter that can be used in both FORMS and REPORTS to automatically insert subtotal rows in the document. The values that can be defined in the PARAM sheet are values to govern the behavior of the subtotal query. In addition to this parameter in PARAM, a SUBTOTAL parameter also need to be defined in column A.
SUBTOTAL values in PARAM:
- Summarize when only one row exists - If TRUE, then a subtotal row will be added even if there is only one data row. If FALSE, then no subtotal row will be added when there is only one row to summarize.
- Add an extra row below the total row - If FALSE, then no extra blank row will be inserted above the subtotal rows. If TRUE, then an extra blank row will be inserted below the subtotal row.
- Overwrite formulas in sum columns - If FALSE, then formulas in columns will not be overwritten with the subtotal formula in the subtotal row (even if SUM, AVG, MAX, MIN, or COUNT is defined in the SUBTOTAL row for that column). If formulas should be overwritten and exchanged with the subtotal formulas in the subtotal rows then this parameter should be defined as TRUE.
- Group detail rows for each subtotal - If FALSE, then detail rows within a subtotal row will NOT be grouped together with a group outline symbol. If TRUE, then all details rows within a subtotal will be grouped together and a group outline symbol will be visible to the left. In addition, all outline groups will be minimized as default when generating the document. This means that when opening a document with this setting only the SUBTOTAL rows will be visible in the initial state.
Caution: These SUBTOTAL parameters in PARAM in combination with the SUBTOTAL in column A must be stated and defined in order for the subtotal to work in the report/form.
Access Subtotal from the right panel in Template Design by selecting Parameters > Subtotal.
Four different parameters can be set for SUBTOTAL:
- Summarize when only one row exists (TRUE/FALSE)
- Even if the subtotal only contains one detail row, should a subtotal row also be created for that subtotal?
- Add an extra row below the total row (TRUE/FALSE)
- Do you want an extra blank row below each automatically created subtotal row?
- Overwrite formulas in sum columns (TRUE/FALSE)
- In template columns where you have formulas, for example SUM formulas, do you want these to be overwritten with SUBTOTAL formulas on the subtotal rows, or should the existing formulas used in the column also be used in the subtotal rows?
- Group details rows for each subtotal group (TRUE/FALSE)
- Would you like Bizview to automatically create group outlines for each subtotal group, so that the user can use + / - button to expand/collapse the different subtotal groups? Remember that the default state of the subtotal groups and details rows is often managed by VIEWTAGS, so even if you define that you want details rows to be grouped with outline for each subtotal row, it is the viewtags that governs which rows that initially will be expanded and visible.
